Participation Guidelines and Show Regulations

Entering Your Exhibit/s: 
⦁    An entry form is included at the end of the printed schedule, alternatively you may download a copy from our website, ⦁    www.tumutshowsociety.com.
⦁    Entry forms for all sections except A – Horses, R – Floriculture and P – Photography are to be registered with the show secretary by Thursday before the show at 5.00pm.
⦁    Entry fees may vary, please check the sections you are entering. 
⦁    We appreciate your entries and these can be entered at the Tumut Showground Pavilion: 
⦁    Monday: 9am – 5pm 
⦁    Tuesday: 9am – 5pm 
⦁    Wednesday: 9am – 5pm
⦁    Wednesday: Photography ‘P’ exhibit entries close 12pm noon. 
⦁    Thursday: 9am – 5pm
⦁    Friday: Pavillion exhibit entries close at 8am (floriculture excepted)
⦁    Friday: 7am – 6:30pm Floriculture exhibits only 
⦁    Saturday: 7am – 9am Poultry exhibits only
⦁    Entries for the Photography section “P” close at noon on Wednesday 4th March and judging will take place from 5:30pm on Wednesday 4th March. 
⦁    Floriculture entries section “R” close at 6:30pm on Friday 6th March
⦁    Exhibits may be removed from the pavilion from 4:30pm on Saturday. If you are unable to collect your exhibit on the day please make arrangements with the steward of your section. 
⦁    Prize money (if applicable) MUST be collected from the treasurer’s office between 2:30pm and 5pm on Show Day or will be considered a donation. 
⦁    Please note: Pavilion entries do not require a waiver. Waivers should be completed by anyone who is: competing in horse events, responsible for handling animals, competing in physical activities such as Campdraft and Stockman’s Challenge etc.

EXHIBITORS PLEASE NOTE: 
ENTRY means the entry form filled in with name and number of exhibits 
EXHIBITS mean the articles to be judged. 
Entry forms to be in the hands of the Secretary by 5pm Thursday. 
Exhibits can be left at the time of entry or be taken to the Show Secretary’s Office by 8am on Friday 6th March. 

REGULATIONS
(1) ALL ENTRIES TO BE MADE IN WRITING AND LODGED WITH THE SECRETARY ON OR BEFORE THE DATE SPECIFIED IN THE SCHEDULE. NO ENTRY WILL BE RECEIVED UNLESS ACCOMPANIED BY THE NECESSARY FEE. 
(1b) Insurance Indemnity & waiver to be signed by all exhibitors where indicated. 
(2) The prizes will be awarded subject to the appended general regulations and conditions, any disregard of which will render the exhibitor liable to disqualification. 
(3) Entry fees stated at the head of each section in the schedule. 
(4) Exhibits, unless otherwise specified, shall be on the ground of the Show at times specified in the schedule, and shall not be removed without permission from the stewards. Competitors in schoolwork sections must comply with regulations contained in schedule. Exhibits must be left until 4:30pm on Show day the second day unless permission for earlier removal is obtained from the steward. 
(5) Non-members and children will be admitted to the ground on a fee fixed by the committee each year. 
(6) The annual membership is $10. Members receive a member ticket and a complimentary ticket. Members must produce their tickets at the gates and will have the privilege of free admission with a partner and children under sixteen years. Life Members are entitled to two (2) Members tickets. 
(7) No exhibitor will be allowed to compete for more than one prize (either Association or special) with the same exhibit, unless otherwise expressed in the list, and no exhibit shall, on any account, be removed from the position of one section to compete in another. This regulation does not apply to Horses, Poultry, Wool and Cattle classes. 
(8) The pavilion will be closed to the public for judging between 10 am and 2 pm on the Friday before the show. 
(9) Any exhibitor proved to have knowingly made false entries for any prize or to have wilfully infringed any of the rules will render himself or herself liable to be adjudged by the committee disqualified from receiving prizes that may be awarded during the show. 
(10) The Society will not be responsible for any accident that may be caused through or by any exhibit and will not, under any circumstances, hold itself responsible for any loss or miss-delivery of livestock or exhibits of any kind, or any damage done thereto. 
(11) All persons exhibiting shall accept the decisions of the judges appointed by the committee of the Society and on all protests the decision of the committee shall be final.
(12) All protests must be lodged in writing with the Secretary within four hours after judging is completed and must be accompanied by $10 for each section protested against, which may be forfeited if the protest is deemed frivolous. 
(13) All exhibits are to be bona-fide property of the exhibitor or their principal. All agricultural exhibits are to be grown by the exhibitor. Exhibits shown by the manufacturer must be the exhibitor’s own personal work or made on the exhibitor’s usual premises by some person in the exhibitor’s sole employ. All turnouts to be the bona-fide property of one exhibitor or recognised partnership. 
(14) All prizes awarded at the Show will be payable by the Secretary when the Chief Steward and the exhibitor have signed the card provided, but will not be paid after 5pm on Show Day, except in cases where protests are entered. 
(15) The judges may recommend for a prize or certificate or commend as they see fit any exhibit of special merit not included in the schedule or when such exhibit, being in the schedule, has no competition. No prizes will be awarded in classes in which exhibits are not considered by the judges to possess sufficient merit. 
(16) Any person using offensive language to judges, stewards, or any other person may be disqualified and expelled from the ground. 
(17) Any exhibitor must sign a statutory declaration if called upon by the committee; failing which he/she shall be liable to be disqualified. 
(18) Any exhibit appearing with a medal or distinguishing badge or brand other than the ordinary brand of livestock, prior to prizes being awarded, will be disqualified. 
(19) Cascade and Meco Sideshow machines will not be permitted on the ground. 
(20) All produce (i.e. fruit, vegetable, crops, etc) displayed in the district exhibit is the property of the Tumut Show Society and will be available for sale at the conclusion of the show unless the producer/supplier indicates otherwise to the Secretary. 
(21) Amplifiers allowed on the ground are subject to the complete control of the Committee. Allocation of space for trade exhibits and sideshows and the rates charged therefore shall be controlled by the Committee. 

NOTICE 
No exhibitor will be allowed to attach to any of their exhibits any prize tickets or ribbons other than those won at the current show, unless for general parade. 


EXHIBITORS 
(1) Exhibitors when entering an article must furnish the Secretary with a description of the exhibit and the class and section they wish to compete in. 
(2) Exhibitors must deliver their exhibits to the showground on or before the time advertised, obtain a card marked with the class and section and number of exhibit from the Secretary and affix it to the exhibit .
(3) Exhibitors must deliver their exhibits to the stewards appointed to that class. 
(4) Exhibitors must not move the exhibits after delivering them to the stewards, without their permission .
(5) Exhibitors of stock must have a person in attendance to parade them at hours noted; otherwise, they will be liable to be disqualified for prizes won by such exhibit.

STEWARDS 
(1) Stewards must be in attendance at the Showground at the hour appointed to receive the exhibits. 
(2) Stewards are responsible for ensuring the exhibits are properly classed and that all exhibits placed in each section are ready for judging. 
(3) Stewards will attend on judges to afford any information required, but will not do or say anything to influence their decision. They must not reveal the name of any exhibitor or repeat any remarks the judges may make to each other. 
(4) Stewards will obtain the award book from the judges when completed and signed and deliver the same to the Secretary. 
(5) Stewards will obtain a prize card and write the name of the successful exhibitor thereon, and affix the same to the exhibit bearing the entry number in the award book. 
(6) Where possible, no steward shall be an exhibitor in the class in which he/she is acting as steward, and should he/she be so acting he or she shall retire during the judging of that particular section. 
(7) Stewards must be in attendance at the appointed time on the day of the show to give exhibitors their exhibits. 

 


JUDGES 
(1) Judges will attend the Secretary’s Office on the Showground at the hour appointed and report themselves to the Secretary. 
(2) Judges will receive an award book from the stewards of the class. 
(3) Judges when they arrive at their decision will at once write the remarks they desire to make. 
(4) Judges may recommend for certificates, or commendations, as they may see fit, any exhibit of special merit and not included in this schedule or in sections in which there is no competition. The judges are requested to be careful to note their opinion of the exhibit in the judge’s book and to clearly state their recommendations with regard to awarding a prize or not. No prizes are to be awarded unless the judges consider the exhibit of sufficient merit, whether in competition or not. 
(5) Judges will sign the awards books in each section and deliver the same to the stewards or Secretary. 
(6) No judge shall be an exhibitor in the class in which they are a judge.
